For companies, optimizing processes and increasing productivity is essential in building a proper infrastructure. You need to know how to locate and resolve inefficiencies in routine activities.
Although it might sound easy at first — we admit that just finding problems and getting on with solving them does sound simple. In fact, it can be time and money-consuming. However, several strategies exist to optimize processes, detect and fix any gaps in your company’s operations, and save a ton of time and money that you can allocate to higher-value projects.
The five whys problem-solving method offers a surprising but straightforward way of dealing with work-related challenges. Once you’ve identified the issue, start asking yourself “Why?” and do so five times. It’s actually a tactic popular among parents of toddlers.
This strategy works because it encourages you to remain grounded in evidence; rather than answering with what might be happening, you respond with facts on what occurred and created the issue.
You will get closer to the root of the issue with each “Why?”. It’s like opening a matryoshka doll of problems. The larger problem might be resolved by getting to the last doll.
For example:
Sales on your website have decreased significantly. Why #1: Customers have stopped signing up. Why #2: The landing page has low conversion rates. Why #3: A lot of users closed the registration form. Why #4: Not known, but it happens on the second page. Why #5: They must put an address on the second page of the registration form. The decision: to remove the demand for address input.
You can test applied changes using the Plan-Do-Study-Act method — divide a task into manageable steps, evaluate results, make improvements, and retest. When we implement change in our lives, most of us go through some or all of these processes without giving it a second thought. Having things written down might help.
You will need to keep the following in mind:
Plan: Clearly outline the change you want implemented and metrics that could be used to demonstrate the success of that change. You can add the five whys during this stage to boost its effectiveness.
Do: Execute your plan as intended. Make a performance baseline to compare results to later because the goal of this approach is to demonstrate the effectiveness of a change. Keep collecting data until enough time for producing measurable results has passed.
Study: Compare the performance. Check the change’s impact against your original objectives.
Act: Have you been successful? Congratulations! No? Now you know you need a different change implemented.
